Operational checklists are short, repeated and easy to ignore once they are filed. Their value is in the pattern: which items get missed, at which location, on which shift. A drawer of completed paper or a folder of PDFs hides that pattern.
Rebuilding the checklist in a generic form builder works, but it changes the document people know and often the order they work in. DocAIFlow keeps the checklist page as it is and records each completion as a structured response.
How it works
Same checklist, comparable completions
Upload the checklist
Use the PDF you already print. Fillable fields are extracted; otherwise place checkboxes over each item.
Choose the right input
Checkboxes for done/not done, radio groups for pass/fail/not applicable, dropdowns for location or shift, text for the person completing it.
Compare completions
Each completion is a row. Export to CSV and count missed items by site, week or person.
Design tips
Make the checklist answerable, not just tickable
- Distinguish "no" from "not done". A checkbox left empty is ambiguous. For items where the answer matters, use a radio group with explicit options and make it required.
- Identify each completion. Add fields for location, date and the person completing it, so rows can be grouped later.
- Keep free text for exceptions. One long-text field for "issues found" is easier to review than notes squeezed into margins.
- Test it on a phone. The checklist keeps its page layout, so check that items are comfortable to tap on the devices your team uses before rolling it out.
Know the limits
What a checklist in DocAIFlow does not include
There are no scheduled reminders, assigned tasks, photo evidence, signatures, offline mode or email alerts when a checklist is submitted. For compliance programmes that require these, a dedicated checklist or inspection platform is the better fit.
Questions
Online checklists from PDFs
Can I require every item to be ticked?
You can mark a field as required so the checklist cannot be submitted without it. For yes/no items where either answer is valid, a required radio group works better than a checkbox, because an unticked box cannot tell "no" from "skipped".
Can the checklist change depending on earlier answers?
DocAIFlow does not claim conditional logic. The checklist shows the same fields to everyone, as the PDF does.
How do I see which items fail most often?
Export the responses to CSV. Each item is a column, so a spreadsheet filter or count shows how often each item was missed.
