A service report records what was done on a job: the customer, the equipment, the work carried out, parts used, time on site and anything left to follow up. Most businesses already have a PDF for it, often one the customer expects to see.
The trouble starts after the visit. Reports come back as photos of paper, PDFs saved under different names, or notes in a message thread, and someone in the office turns them into the billing and maintenance records the business actually runs on. DocAIFlow keeps the report your technicians know and makes the answers arrive in a usable shape.
How it works
One service report, one link, one row per job
Upload your report
Use the existing PDF. Extract its fillable fields if it has them, or place text, long-text, checkbox, radio and dropdown fields over the page.
Require the essentials
Mark the job reference, customer and work-performed fields as required so incomplete reports are caught before they are submitted, not at invoicing.
Bill and plan from data
Every submitted report is a row. Export the CSV to reconcile jobs against invoices, track repeat visits or feed a maintenance spreadsheet.
Field design
Fields that make service reports useful later
The way a field is defined decides how easy the report is to use afterwards. A few choices pay off at the end of the month:
- Dropdowns for fixed lists such as service type, equipment category or outcome, so the column can be filtered without cleaning typos.
- Separate fields for identifiers such as job number and customer reference, rather than one free-text box, so rows can be matched to other systems.
- Checkboxes for completed tasks, so you can count how often each task is performed.
- Long text for the narrative, where a technician needs room to explain what they found.
Technicians who lose signal mid-report do not lose what they typed when the page reloads: draft answers are kept on their own device until the form is submitted. Submitting still needs a connection.
Know the limits
Not a field service management system
DocAIFlow handles the report, not the rest of the job. It does not schedule or dispatch technicians, track parts inventory, capture photos or signatures, work offline, generate invoices or send the customer a completed PDF. If you need those, field service software is the right category; DocAIFlow fits teams whose report is the part that is broken.
Questions
Service report forms online
Can the customer sign the service report?
Not in DocAIFlow today. Signature fields are not part of the beta, and neither are certified e-signatures. If a signed report is required, keep that step in another tool.
Will I be notified when a technician submits a report?
No. The service does not send email, so there is no notification when a report is submitted. New reports appear in the form's response dashboard.
Can I send the customer a copy of the completed report?
Not automatically. DocAIFlow does not generate a completed PDF per response or email anyone. Reports are reviewed in the dashboard and exported as CSV.
Can several technicians use the same form?
Yes. One published link can collect any number of reports. Add fields for the technician, job reference and date so each row can be identified.
